Friends, under the rules of Employees Provident Fund Organization i.e. EPFO, member has been allowed to rectify errors in name, father / husband name, DOB and gender in their profile. Because many times there is some error in the EPF profile of the member due to the fault of the employer or due to the failure of the member to submit the correct documents. In such a situation, it is very important for a PF member to improve the details of his PF profile, only then he can do any work related to his PF online.
But EPFO has issued a circular on 12 February 2021 stating that the corrections rule in PF details has been tightened, so if you are a pf member then it is very important to know about this new rule.
Rules To Improve EPF Details Made Tougher (Correction In PF Details)
However, the EPFO has allowed the member to improve PF details both online and offline, in which members can get the name, father or husband’s name, date of birth and the gender corrected with proper documentation. | But it has also been seen that many EPF accounts have undergone a full name and profile change, through which some cases of fake withdrawals have occurred, so in the normal course through online or offline process for a complete change in member profiles. Permission cannot be granted and the application for such improvement will be accepted only when it is proved after hard investigation.
According to the new rules, the EPFO has made different rules for Minor correction and Major correction in the details of PF. First of all, what is the minor improvement and major improvement in PF detail correction?

- If the correction name is related to an extension from a surname to an abbreviation, where the correction is taking place without changing the first letter after the correction, such as – R. KUMAR to RAKESH KUMAR, VS VERMA to VIJAY SHANKAR VERMA, Improvement is minor correction. But from R KUMAR to SURESH KUMAR it will be called a major improvement.
- If the father’s or husband’s name is middle (eg), eg- SUNITA KUMAR s / o or w / o RAMESH KUMAR to SUNITA RAMESH KUMAR Minor Correction will be called Minor Correction.
- Changes in the surname of women employees after marriage are included, such as Sunita Sharma to Sunita Singh Minor Correction.
Major Correction In PF Details
All those cases which do not fall under the category of minor improvement or any improvement. A complete change in the name or father’s name, or where more than 2 fields contain corrections, will fall under the category of Major correction.
Authority for Minor and Major Reforms in PF Detail
- For Minor Correction: APFC / RPFC II
- For Major Correction: RPFC-I / RPFC-II (OIC)
It Will Be Difficult To Improve PF Details
The main reforms described above will not be rectified without following in the online process. Such as documentary evidence, clarification from the employer, verification of the reality including the appropriate case. In the case of a closed establishment where the employer or authorized signatures are not traceable / available, the authority signing the Joint Declaration Form should be one of the authorities set out in para 10.18 of MAP Vol.ll and rectify the proper care, caution , Will be corrected only after documentary evidence produced in proof of proper identity, employment etc.
- If the Joint Declaration Form is being signed by the employer, then surely the Employer has to submit the original records like Application Form 23, or PF Slip for Employee register, increment orders, pay slip, appointment order or any EPFO. Should be asked for.
- In case of closed establishment, the applicant may have to submit evidence, such as appointment letter, pay slip, increment order, PF-slip or Form 23 to correct the name in an application.
- Similarly, if required, any other record which the authority feels, can also be verified through the EO (Enforcement Officer).
It has further been directed by the EPFO that the document proof submitted by the employee or employer should be available for audit by the Indian Academy of Pediatrics. Such cases can be 100% audited by IAP, CAC (Concurrent Audit Ceil) and can also investigate all such cases on a regular basis.
